JOB RESPONSIBILITY : To manage the Parts Department in a manner that will contribute to dealership profits and growth and to maximize customer satisfaction with parts availability.

GENERAL FUNCTIONS:
A. Initiate and administer approved dealership operating policies for the Parts Department.
B. Participate in planning, advertising and promoting parts sales.
C. Use proven procedures in stocking and controlling parts and accessories to adequately meet the needs of retail and wholesale customers and of the Service Department.
D. Assign and supervise the work and the job performance of Parts Department employees.
E. Control Parts Department expenses and credit sales.

SPECIFIC FUNCTIONS :

A. INITIATE AND ADMINISTER APPROVED DEALERSHIP OPERATING POLICIES FOR THE PARTS: DEPARTMENT.

1. Assist dealership management in planning and setting annual parts sales and profit objectives.
2. Maintain good records of all Parts Department transactions.
3. Cooperate with Service Department in warranty and policy administration.
4. Formulate recommendations to management for improvement in the operation of the Parts Department.
5. Establish competitive, yet profitable prices for parts and accessories.
6. Keep price changes up to date and all parts manuals current and readily available for use.

B. PARTICIPATE IN PLANNING ADVERTISING AND PROMOTING PARTS SALES.

1. Work with management in planning for the promotion and sale of parts to include all forms of advertising.
2. Order and stock parts and accessories in preparation for special promotions.
3. Prepare the Parts Department and display areas for handling and capitalizing on "specials" and on effective display of parts and accessories.
4. Practice "suggestive selling" with each over-the-counter sale.
5. Keep current on competitive prices and merchandising programs.
6. Plan, promote and capitalize on seasonal parts sales.
7. Make full use of company provided parts sales promotions and programs.

C. USE PROVEN PROCEDURES IN STOCKING AND CONTROLLING PARTS AND ACCESSORIES TO ADEQUATELY MEET THE NEEDS OF RETAIL AND WHOLESALE CUSTOMERS AND OF THE SERVICE DEPARTMENT.

1. Maintain adequate controls to:
• Assure proper inventory levels.
• Determine and control obsolescence.
• Indicate yearly inventory adjustments.
• Show trends in movement of parts and accessories.
• Capitalize on maximum discounts.
2. Order parts and accessories according to procedures.
3. Maintain a close check on all items received as to quantity, condition, backorder and as to completing all needed records associated with receiving, claims, etc.
4. Maintain close control on movement of all parts out of the Parts Department, so that they are fully accounted for.
5. Allow only "authorized" personnel in the parts area.
6. Provide a fast and convenient means for moving parts to the Service Department
7. Survey the "bin situation" frequently for possible rearranging and more efficient use of space and location.

D. ASSIGN AND SUPERVISE THE WORK AND THE JOB PERFORMANCE OF PARTS DEPARTMENT PERSONNEL.

1. Inform the individuals concerning their specific job and the work that they are expected to do.
2. Provide upgrading instruction for the individuals both through on-the-job help and through attending training programs provided by the company.
3. Assist management in evaluating and deciding on salary increases and other job adjustments for Parts Department personnel.
4. Inform individuals concerning all parts promotion and sales activities.
5. Motivate Parts Department personnel through use of competitive incentive programs.

E. CONTROL PARTS DEPARTMENT EXPENSES AND CREDIT SALES.

1. Order all parts to obtain and benefit from possible discounts, prepaid freight and other savings opportunities.
2. Keep a close check on the dealership's "Accounts Payable Aging Sheet" to make certain that credit sales are not made to customers who are delinquent.
3. Identify and dispose of excessive and obsolete parts.
4. Capitalize to the fullest on the Company's Parts Return Plan.
